the following pages will explain the first steps for installing your Digital Phone telephone system.
The handling of the "Administration Portal" for the central administration of the telephone system, the use of "User Control" for the configuration of the employees and the integration of your smartphone are described in detail below.

The Administration portal offers you a simple and intuitive way to manage the configuration of your virtual telephone system. You can create new items here or manage or change existing entries. For example, you create a new service (under destinations) - for example, a queue - and then determine directly when configuring the service whether an extension or only a specific extension number is to be assigned.
LOGIN
1. You will receive your customer number and the corresponding password by e-mail.
2. Go to https://admin.digitalphone.o2business.de/en/login in your Internet browser to go to the Administration portal.
3. Log in with the access data sent to you. After successfully logging in, you will find yourself on the following page:
You have the option of selecting the following menus:
Destinations Under this menu, you create new destinations, for example, extensions, eFax or telephone conferences.
Elements Here you can create all end devices as well as individual telephone announcements.
Administration Here you can manage the settings for the user profile and the company locations as well as file import and export for uploading e.g. phone books.
Extensions Extensions and trunk lines can be searched for under the menu "Extensions".
The navigation bar is located at the top of the screen.
Click on the menu "Administration" in the navigation bar. Now you can choose between the functions "Profile", "Locations", "File Import/Export" and "Phonebook".
After the first login, you should change your personal password. To do so, click on the function "Profile". You can change the password and other personal settings in this window.
Via the sub menu "Locations", you can view all locations that have been created for your company. This happens automatically when you sign the contract. If additional locations are added later, please contact the Business Data Team at O2 (see last page for contact details).
Upload phone book entries, extensions or speed dial entries in the form of csv files via the subitem "File Import/Export". The uploaded files are then created centrally for all extensions and are available in the system.
By clicking on the sub menu "Phone book" you can view all currently created phone book entries and manually change their properties.
ADD NEW DEVICES
1. Click on the menu item "Elements" in the navigation bar and select the function "Devices".
2. Click on the button "Add new device" at the bottom of the screen and select the model of the telephone to be created. Then you must enter the MAC address of the device. You will usually find this on the back of your telephone.
Repeat this procedure for all devices to be created.
If you have purchased your devices via O2, the corresponding devices are already stored with MAC addresses in the system. In this case, you do not have to enter them again.
ADD NEW TARGETS
Click on " Targets" in the navigation bar to create extensions (and, if necessary, other targets, such as telephone conferences, eFax, queues, groups, etc.).
Below you can see an example call flow:
2. Click on the button " Add new target" at the bottom of the screen and select "Extension" (or the type of target you want to create).

4. Enter the name of the employee and the extension number, i.e. his/her internal extension number.
If you only have one external line, an external call number is now automatically created. If you have several external lines, you must first select a "preferred external line" under "Configuration".
Note: Internal and external call numbers do not have to be identical!
5. Select the button "Add new device". When you click on the button, you receive a list of the MAC addresses of all previously created terminals. Select the one to which you want to connect the extension.
If required, additional individual settings regarding voicemail, forwarding, etc. can be configured here.
User Control allows each employee to easily and conveniently administer their extension individually via web access, such as:
– Create and manage individual call and queue profiles.
– Manage multiple extensions
– Sending and receiving fax messages
REGISTRATION
1. You will receive your customer number, extension number and password (Voice Mail PIN) from your administrator.
2. Go to the usercontrol.digitalphone.o2business.com/en/login website and log in by entering your customer number, extension number and voice mail PIN provided by your administrator.
USE
History
In the history you will find all activities regarding call history, voicemails and faxes.
By clicking on the respective tab in the top bar, you can access the individual directories.
Contacts
In the contacts you can see the central telephone book under the tab "ALL" and your private contacts under the tab "PRIVATE". Here you will find all contacts that have been created centrally for your telephone system as well as the contacts that you have entered yourself.
Here you can search for contacts, edit them or create new contacts.
Conferences
The conference room control in the User Control is used for the live display of conducted and subscribed conferences and their participants, voice activities as well as for the control of these conferences by the moderator. With the help of the conference room control you can, among other things, view the status of conference topics and moderators, activate or deactivate functions such as requests to speak, muting or deaf switching for participants or invite participants who have not yet been dialled in to the conference.
Fax
In order to be able to use the eFax, it must first be configured (please refer to the section "Service Portal" - "Creating New Destinations" for the configuration steps).
You can then send and manage fax messages directly or send them to a recipient using drag & drop. You can choose whether you want to enter the fax number yourself or select a fax number from the central telephone book.

Settings
Under Settings you can make a variety of configurations for your extension. These will then be taken over by your desk phone, if available.
Profiles
Furthermore, you have the possibility to create different profiles for your extension, which are, however, independent of each other. This means that you can switch between the profiles without changing the other one.
In addition, you can specify that you only want to use one particular profile type - without the other (and vice versa).
Call forwarding
Define which call forwardings should take effect for the extension. This way you can create and manage different call profiles for your extension and do not always have to adjust call forwardings in the extension settings.
Queues
Define which queues the extension is booked into. This way you can create and manage different queue profiles for your extension and do not always have to log in and out of certain queues.
The FMC client enables you to easily integrate your smartphone into your telephone system as an extension. In this way, you can always be reached on the move under your office telephone number and can also use all the functions of the telephone system via your smartphone.
INSTALLATION
1. Visit the official App Store and download the "Digital Phone by O2 App".
2. After a successful download, open the application. Select the sub-item "Settings" under the menu item "Favourites". There you can make a note of the provisioning key required for creating the FMC device or have it sent to you by e-mail (for iOS) or the. For Android, please enter the key combination "*#06#" to display the IMEI of your end device.
3. Now log into the Admin Portal and create an FMC end device under "Elements"/ "End Devices" (see B. Admin Portal). Enter the provisioning key/IMEI under "IMEI/UDID". The rest of the procedure is identical to the procedure already described under "Admin Portal".
4. After downloading the app and creating the FMC extension, the app downloads the configuration automatically. If this does not happen, please select "Download configuration" under Settings.
FUNCTION OVERVIEW
The mobile phone supports WLAN and the access rights are not restricted.
The mobile phone must be SIM lock & NET lock free.
With the FMC Client for Android, this function is not supported with a GSM connection. In WLAN these functions work.
The mobile phone contract includes a data package.
SPECIAL FEATURES
Calls via WLAN
If WLAN is available to the mobile phone, every outgoing call is automatically established via WLAN and a VoIP connection to the digital phone system is established. For incoming calls, the FMC client in the WLAN can also be reached via VoIP.
Handover to GSM
If the WLAN quality is poor, it is possible to continue the call via GSM. To do this, select the option "Handover to GSM". You will then receive a callback from the telephone system. For this time, the connection with the call partner is interrupted; as soon as the call is accepted again, the connection is immediately re-established.
SIM change
Allows you to use the FMC Client with several SIM cards (domestic and foreign).
Call-Back
You receive a call from the telephone system (outgoing calls).
Reverse Call-Back
When you receive an incoming call, you first receive a call from the telephone system (request via the data channel). Immediately afterwards, a connection is established from the mobile phone to the telephone system. Then the FMC client connection and the calling connection are merged. For the call participants, there is no noticeable difference to an ordinary connection.
Call-Through
The FMC Client is called via the office number of the extension.
